Who we are
Psychiatric Report Ltd (“Distinct”, “we”, “us”, “our”) is a private healthcare provider registered in England and Wales. Our registered address is Fairgate House, 205 Kings Road, Office F04f, Birmingham, B11 2AA.
We are registered with the Information Commissioner’s Office (ICO) as a data controller under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our ICO registration number is available on request.

Data we collect
When you use our website or book an assessment, we may collect: your name, email address, phone number, and date of birth; medical history, current medications, and any relevant clinical documents you choose to share; responses to our pre-assessment questionnaires; payment information (processed via our payment provider — we do not store full card details); and technical data such as IP address, browser type, and pages visited.
We collect only the information necessary to provide our service and fulfil our legal obligations. You are not required to provide medical information to browse our website.
How we use your data
We use your personal data to: process your booking and deliver your assessment; communicate with you about your appointment, report, and after-care; process your payment; comply with our legal and regulatory obligations; and improve the quality and safety of our services.
We process your data on the legal bases of: performance of a contract (your booking agreement); compliance with a legal obligation; and your explicit consent where required by law, particularly for special category (health) data.
Medical data (special category)
Your health information is classified as “special category data” under UK GDPR Article 9. We process this data under Article 9(2)(h) — for the provision of health care by a health professional — and under your explicit consent provided at the time of booking.
Your medical records are held securely in encrypted systems. Access is restricted to your treating clinician and administrative staff on a strict need-to-know basis. We never use your medical data for marketing purposes.
Data sharing
We do not sell your personal data. We share data only as follows: with the GMC-registered consultant psychiatrist conducting your assessment; with our secure payment processor (Stripe); with cloud infrastructure providers under appropriate data processing agreements; and where required by law, regulation, or court order.
If you consent, we may share your report with your GP or a nominated healthcare provider. We will never share your report without your explicit written consent, except where required by law.
Data retention
We retain medical records for a minimum of 8 years following your last assessment, in accordance with NHS record-keeping guidelines for private providers. Financial records are kept for 7 years as required by HMRC.
If you do not proceed to booking after enquiring, we will delete your contact details within 12 months. You may request earlier deletion subject to our legal obligations.
Your rights under UK GDPR
You have the right to: access the personal data we hold about you; request correction of inaccurate data; request erasure of your data (subject to legal obligations); restrict or object to our processing; receive your data in a portable format; and withdraw consent at any time where consent is the legal basis for processing.
To exercise any of these rights, contact us at info@distinct.health. We will respond within one calendar month. You also have the right to lodge a complaint with the ICO at ico.org.uk.
Cookies
Our website uses essential cookies necessary for the site to function. We do not use advertising or tracking cookies without your consent. Analytics cookies (which help us understand how the site is used) are only placed if you accept them via our cookie consent banner.
